General Data Protection Regulation 2018 and the Christchurch History Society Website

General Statement

On 25th May 2018 The Data Protection Act 1998 was replaced by The General Data Protection Regulation 2018 (GDPR). To be compliant the Christchurch History Society Website has been fully updated.

The GDPR applies to all personal data held on Members either in paper format or digitally.    The Society holds its Membership List, and the Register of Research Requests, encrypted on computer.    The Website only holds information on Contributors to the website.     All content of the website provides for the necessary consent of users at all interfaces where personal data is collected.

Due to the nature of the systems in place the website data has been “ring fenced” and dealt with independently under the GDPR and is subject to more specific controls by the website host company Community Sites Ltd. through the Webmaster, who also acts as the Data Controller and Data Protection Officer for the Website, On-Line Catalogue and Application Forms available through the Website.   Upon request to admin@historychristchurch.org.uk you can view the data held on the website or request that your data be removed from the website.

Membership Applications

When applying for membership of the Christchurch History Society, whether joining new or renewing, each individual must complete and sign a Membership Application Form (see separate announcement on the Home Page). The data given on the Form will be held by the Society encrypted on computer and processed (ie used) as needed by the Society.   Only the Form appears on the website and no personal data is held on the website but held independently of the website.   Upon request to The Membership Secretary, Christchurch History Society, The Porch Room, Priory House, Quay Road, Christchurch, Dorset, BH23 1BX a Member can view the data held or request that the data be removed. The data will be used only for processing the stated purposes.   The personal data provided on the Form will not be disclosed to any other person(s) or any third party organisations (unless required by law).

Request for Research Applications

When applying for assistance from The Christchurch History Society with a Research Enquiry, Family History Research Enquiry, or an Archive Visit Application, Enquirers will be asked to complete one of the three appropriate Forms and give consent to all of the data that they provide being held on the submitted paper Form and on a computer.    Only the Forms appear on the website and no personal data is held on the website but held independently of the website.   Other data will be added to the computer database for the purpose of monitoring progress of the Enquiry and administration within the Christchurch History Society.   Upon request to The Research Co-Ordinator, Christchurch History Society, The Porch Room, Priory House, Quay Road, Christchurch, Dorset, BH23 1BX an Enquirer can view the data held or request that their data be removed.   The data will be used only for processing the Enquiry but the findings will be recorded for future reference and may be used in the Christchurch History Society Archives.      The personal data provided on the Form will not be disclosed to any other person(s) or any third party organisations (unless required by law).
